HubSpot large database import

Close the broken-associations, duplicate-flood, and dropped-records gaps.

Three data-import problems HubSpot solves

Discovery_Illustrations_Color_LightBG

Why does a raw import break the relationships in the data?

  • PYB maps the associations before loading, so a company keeps its contacts and a contact keeps its deals once inside HubSpot. The structure that made the data useful survives the move. Nothing arrives orphaned.
  • So when a user opens an account after import, the full history is connected, not scattered across unlinked records. The data works on day one.
  • A flattened import is worse than no import. Preserving the links is what makes the dataset worth moving.

Why does importing as-is double the mess?

  • Before anything loads, PYB de-duplicates and standardises the dataset against the new model, so thousands of legacy duplicates collapse rather than multiply. Required properties keep new entries clean from the first day.
  • So when the team searches a customer, they find one record, not five near-matches. The CRM starts tidy instead of inheriting years of drift.
  • Clean data is the difference between a CRM people trust and one they quietly work around.

Why can't anyone confirm the import landed in full?

  • Every load runs to a sandbox first, with a reconciliation count matching source records to imported records before the production import. The numbers have to agree before anything goes live.
  • So when the import completes, there is a documented count, not a hopeful assumption. Any gap is caught in the sandbox, not discovered weeks later by a user.
  • A reconciled import is one you can sign off with confidence. The data is all there, and you can prove it.

FAQs

How long does a large database import take?

Most imports run 6 to 10 weeks as a focused project. Weeks 1 to 3 cover the audit and clean: profiling the source data, mapping associations, and removing duplicates. Weeks 4 to 7 cover the staged load: a sandbox import, a reconciliation count, then the production load. Weeks 8 to 10 cover validation and user training on the imported records.

Can HubSpot hold the relationships our legacy database modelled?

Yes. Companies, contacts, and deals associate natively, and custom objects model any structure the standard records do not cover. The links your old database held are rebuilt as enforced associations rather than left implied. PYB has imported large, relationship-heavy datasets for clients whose history could not be allowed to arrive disconnected.

How do you handle duplicates and inconsistent legacy data?

De-duplication and standardisation happen before import, not after, so the CRM never inherits the mess. Matching rules collapse near-duplicates, formats are normalised, and validation flags anything that fails the new model. The result is a clean base rather than a digital copy of the old one.

What HubSpot products does a large import typically need?

Sales Hub Professional or Marketing Hub Professional depending on where the records sit. Operations Hub Professional for the data quality tools that keep the import clean. Custom Objects (Enterprise tier) for relationship structures beyond the standard records. The right mix depends on what the dataset feeds.

Does HubSpot meet the security standards for importing sensitive records at scale?

HubSpot holds SOC 2 Type II and ISO 27001, with permission controls and audit logging across the imported data. PYB adds its own ISO 27001, ISO 9001, and HubSpot Data Migration Accreditation. For a large customer dataset, that combination is the governance assurance a data owner needs before the load.
