Keeping an ISO 27001 asset and SaaS register current in HubSpot

Close the shadow subscriptions, stale inventory, and supplier link gaps.

Three asset-register problems HubSpot solves

Why does a new subscription never reach the asset register?

  • Assets become records in HubSpot, each with an owner, a classification, and the data it handles. So a tool is logged where the rest of your business data lives, not in a spreadsheet a few people open. The inventory becomes part of the system, not a side document.
  • A subscription record links to the supplier that provides it and the owner who uses it. The register answers who, what, and which data in one place. ISO 27001's A.5.9 inventory stops being a static file and becomes a live view.
  • Logging an asset is a step in how the tool gets adopted, not a chore done later. The register fills as the business grows. It reflects what you actually run.

Why does a spreadsheet inventory always drift out of date?

  • Discovery can run rather than wait for a memory. The subscription sweep we run on our own setup reads inbox signals, receipts, and renewal notices, then surfaces tools that are not yet on the register. New spend becomes a prompt to log, not a gap found at audit.
  • The sweep proposes; a person confirms. It flags a candidate asset for review rather than adding it silently. Someone still classifies the tool and records the data it touches, because that judgement belongs to a human.
  • Shadow IT shrinks because new spend is visible early. The register tracks reality within days, not at the next annual review. The inventory describes the tools touching data now.

Why can no one say what a vendor incident touched?

  • Because assets link to suppliers, a vendor record shows every system and dataset that depends on it. When a supplier reports an incident, you read the blast radius from one record. The question stops needing a meeting to answer.
  • Classification and data-handling fields sit on each asset, so the register knows which tools touch sensitive data. Risk review reads the register rather than starting from scratch. The high-exposure assets are already marked.
  • Supplier and asset reviews share one source. A renewal, a re-assessment, and an incident all read the same connected record. The register earns its place by being the thing people actually check.

FAQs

How long does it take to build an asset register in HubSpot?

Four to six weeks. Weeks one to two model the asset and supplier objects and the association between them, with classification and data-handling properties. Weeks three to four import your current inventory and link assets to existing supplier records. Weeks five to six add the discovery sweep, the review reminders, and the reporting view, then hand it to the owner who maintains it.

Can HubSpot model the relationship between assets and the suppliers that provide them?

Yes. Assets and suppliers are separate custom objects with an association between them. One supplier can carry many assets; one asset links to the supplier and the owner responsible. The relationship persists, so a supplier incident or a renewal reads straight through to the affected systems. PYB has built asset and supplier architectures for clients consolidating inventories that were split across spreadsheets.

Does this satisfy ISO 27001 A.5.9 for inventory of assets?

It supports it. A.5.9 expects an inventory of information and associated assets, with ownership and classification, kept current. The asset object holds ownership, classification, and the data each tool handles. The discovery sweep keeps the inventory close to reality between reviews. The register is the evidence; your risk owner and auditor still judge whether classification and treatment are right.

What HubSpot products does an asset register need?

Custom Objects, on an Enterprise tier, model assets and suppliers. Operations Hub runs the discovery sweep and the data quality automation that keeps records clean. Sales Hub or Service Hub Professional gives owners the records and review tasks. The supplier object can reuse the company records you already hold, so suppliers are not duplicated.

Is HubSpot secure enough to hold an asset and supplier inventory?

HubSpot maintains SOC 2 Type II and ISO 27001 certification. PYB holds ISO 27001, ISO 9001, and ISO 42001, plus HubSpot's data migration and custom integrations accreditations. An asset register maps your data estate, so where it sits is itself a control. The platform and the partner are certified to the standard the register supports.
