Running ISO 27001 and 42001 in HubSpot

Close the drifting actions, stale register, and audit scramble gaps.

Three ISO-management problems HubSpot solves

Why run an ISO management system on records rather than documents?

  • Model your management system as objects, not a folder of documents. Non-conformities, assets, suppliers, and AI use cases each become a record with an owner, a status, and a date. The system stops being a file someone updates the week before the auditor arrives.
  • Associate those records the way the standards expect. A corrective action links to the non-conformity that raised it; an asset links to the supplier that provides it. When an auditor asks how a finding was closed, the trail is already there.
  • The management system becomes something you operate, not something you rebuild. Owners see what is theirs and overdue. Nothing depends on one person remembering where the master copy lives.

Why keep it in HubSpot instead of separate GRC software?

  • Dedicated GRC software is another licence, another login, and another place data goes stale. If your team already lives in HubSpot, the management system can live where the work happens. Custom objects model the registers; workflows drive the dates.
  • Records connect to the rest of the business. A supplier in the asset register is the same company record your team already deals with. A control owner is a real HubSpot user, so reminders reach them where they read everything else.
  • You assess what you have before buying what you do not need. For many certified firms, HubSpot already holds the contacts, companies, and process the management system describes. PYB builds the registers on top rather than starting a second system.

Why does a management system decay between audits?

  • Maintenance is continuous, but most teams treat it as annual. Actions slip, registers age, and evidence scatters until the audit forces a scramble. HubSpot workflows make the maintenance run on a schedule, surfacing what is due rather than waiting for someone to check.
  • Findings surface to a person, who still decides. Automation chases the date and flags the gap. It does not close the action or judge the non-conformity. That distinction is the point of governing the work rather than automating the judgement.
  • The audit becomes a report you can already produce. When records stay current week to week, the surveillance visit reads what is there instead of what was assembled overnight. The system reflects how you actually operate.

FAQs

How long does it take to set up an ISO management system in HubSpot?

Six to ten weeks for a working setup, depending on how many registers you need. Weeks one to three model the custom objects and their associations: non-conformities, assets, suppliers, and AI use cases. Weeks four to six build the workflows for ownership, due dates, and review reminders. Weeks seven to ten connect the registers, set the surfacing rules, and train the owners. A single register is faster; the full management system sits at the upper end.

Can HubSpot model the relationship between controls, findings, assets, and suppliers?

Yes. Custom objects hold each register, and associations hold the relationships between them. A corrective action links to its non-conformity; an asset links to its supplier; an AI use case links to its risk assessment. The relationships persist, so a change to one record is visible from the others. PYB has built register architectures for clients whose compliance data was previously spread across spreadsheets and email.

Does this satisfy ISO 27001 and ISO 42001 requirements for records and corrective action?

The structure supports them. ISO 27001 clause 10.2 expects non-conformities and corrective actions to be recorded, owned, and closed; the custom object and its workflow hold that lifecycle. ISO 42001 expects an inventory of AI systems and their risks; a register models it. HubSpot holds the evidence. Your management review and your auditor still make the judgements. The system surfaces and assembles; it does not certify you.

What HubSpot products does an ISO management system need?

Custom Objects, which require an Enterprise tier on the relevant hub, model the registers. Operations Hub handles the integrations that feed them and the data quality automation that keeps them clean. Sales Hub or Service Hub Professional gives owners the records, tasks, and workflow tools. Marketing Hub is optional here, since this is internal governance rather than outbound.

Is HubSpot secure enough to hold ISO compliance records?

HubSpot maintains SOC 2 Type II and ISO 27001 certification for its platform. PYB holds ISO 27001, ISO 9001, and ISO 42001, plus HubSpot's data migration and custom integrations accreditations. For a buyer storing compliance evidence, that matters: the partner handling your records is certified to the same standards you are maintaining.
