HubSpot two-way data sync across systems

Close the one-way-update, stale-data, and disagreement gaps.

Three data-sync problems HubSpot solves

Discovery_Illustrations_Color_LightBG

Why does a one-way sync lose changes?

  • A two-way sync updates both systems whenever either changes, so a change made in one is never overwritten by the other. Updates flow in both directions. Nothing is lost on the next run.
  • So when someone edits a record in either system, the change holds and propagates, rather than being wiped by a one-way overwrite.
  • A one-way sync silently discards half the changes. A two-way sync keeps them all.

Why does the data go stale?

  • The sync runs frequently or in real time rather than on a slow schedule, so both systems stay current together. The window where one is stale and the other fresh closes. The data is reliable whenever it is read.
  • So when a record is checked in either system, it reflects the latest change, not the state at the last scheduled run.
  • Data that is only current right after a sync is data you cannot trust between runs. Frequent sync keeps it live.

Why do the systems disagree?

  • Conflict rules decide which system wins when the same field changes in both, so the two resolve to one value rather than disagreeing. The ambiguity that caused silent mismatches is removed by design.
  • So when both systems touch the same field, the rule settles it, and the data stays consistent rather than splitting.
  • Systems disagree when nothing arbitrates a conflict. Clear rules are what keep them aligned.

FAQs

How long does a two-way sync take to build?

Most run 6 to 10 weeks. Weeks 1 to 3 cover architecture: the fields to sync, the direction, the frequency, and the conflict rules. Weeks 4 to 7 cover the build and sandbox testing of the sync in both directions. Weeks 8 to 10 cover go-live and training, so the team trusts that both systems stay aligned.

Can HubSpot keep two systems genuinely in sync?

Yes. Operations Hub and custom integrations support real, two-way syncing with field mapping and conflict resolution, so both systems stay current rather than one overwriting the other. PYB has built two-way syncs for clients whose systems previously drifted apart between scheduled runs.

How do you handle conflicts when both systems change the same field?

Conflict rules are agreed up front: which system is the source of truth for each field, and how a simultaneous change resolves. The sync then applies those rules consistently. That design is what stops a two-way sync turning into two systems quietly fighting over the same record.

What HubSpot products does a two-way sync need?

Operations Hub Professional, or Enterprise for programmable automation, to run and govern the sync. The relevant Hubs for the data being shared. Custom Objects (Enterprise tier) where the synced data needs a bespoke model in HubSpot. PYB scopes it to the systems involved.

Does a two-way sync keep data secure between systems?

HubSpot holds SOC 2 Type II and ISO 27001, and the sync runs over secure, authenticated connections. PYB adds its own ISO 27001, ISO 9001, and Custom Integrations Accreditation. For data moving continuously between systems, that is the assurance a data owner needs.
