Deciding where AI belongs in HubSpot

Close the gap between deploying AI everywhere and freezing out of caution.

Three ways the AI decision goes wrong

Discovery_Illustrations_Color_LightBG

Why is not every process safe for AI?

  • Each process is assessed for sensitivity, reversibility and the cost of a wrong answer.
  • High-stakes, customer-facing or regulated steps are flagged for human oversight rather than full automation.
  • You point AI at the work where it helps and away from the work where it harms.

Why do teams over-deploy or freeze?

  • A clear map of suitable and unsuitable use removes the all-or-nothing instinct.
  • Where AI acts and where a person signs off is defined per process, so the human in the loop is deliberate.
  • The team adopts AI with confidence because the boundaries are drawn, not guessed.

Why does AI land in the wrong place?

  • The triage ranks use cases by value and by risk, so the safe, high-value ones go first.
  • Decisions are recorded, so the reasoning survives staff changes and audits.
  • AI ends up where the business chose to put it, not where it drifted.

FAQs

How long does the triage take?

Usually 2 to 3 weeks. The first stage assesses candidate processes for risk and value. The second sets the human-in-the-loop boundaries and documents which processes are suitable for AI and which are not.

Can HubSpot limit where AI runs?

Yes. Breeze features can be enabled per process and scoped to specific data, so AI is confined to the areas chosen for it. PYB configures HubSpot so the triage decisions are enforced, not just written down.

Does this consider regulatory limits?

Yes. Some processes carry regulatory or confidentiality constraints that rule out full automation. The triage flags them, so AI is held back where the law or the contract requires a person.

What HubSpot products does this need?

The triage applies wherever Breeze and AI features are available. Higher tiers and Operations Hub give finer control over where AI runs, which the assessment takes into account.

Does HubSpot meet our AI governance requirements?

HubSpot holds SOC 2 Type II and ISO 27001. PYB adds its own ISO 27001, ISO 9001 and ISO 42001 certifications, so the people governing your AI are themselves audited against the AI and information-security standards your buyers and regulators ask about.

Talk to PYB about an AI suitability review.

A 15-minute call to walk through which of your processes are safe to hand to AI, where a person should stay in the loop, and where to hold back, and what closing the gaps looks like. No prep, no pitch deck.
